Private Function Terms & Conditions

  • Minimum Spend
By booking in their private function session, the booking organizer acknowledges and agrees that the final spend of the organizer and/or the group must meet the minimum spend that is applicable to their booked function session. If the total spend of the organizer and the group combined does not meet the minimum amount, the organizer is liable in paying the difference as a venue hire fee. To view the minimum spends applicable to our private function sessions, please view the booking page [HERE]
  • Deposits
All private function bookings for The Rose Room require $1000 of the minimum spend to be paid as a deposit at the time of booking. The remainder of the minimum spend and any other client purchases can be paid in the venue at the conclusion of the event.
  • Cancellations
Change of mind cancellations are not possible and should the booking organizer wish to cancel their booking for a reason that is not covered under the force majeure clause, the paid deposit will be charged as a cancellation fee and will not be returned to the booking organizer.
  • Corporate Clients
If you are making a booking on behalf of a business or corporation and are not able to pay the deposit online via card payment, please let our bookings team know and they can arrange an invoice for you to pay your deposit via bank transfer instead. The bookings team can be contacted at bookings@dirtysultan.com
  • Force Majeure
Should circumstances arise that make holding a private function impossible for both the booking organizer and the venue, such as but not limited to; a natural disaster, government lock-down, force of nature or act of terrorism, preventing both parties from proceeding with a booked event at that date and time, Dirty Sultan will refund 100% of the payments made by the booking organizer to Dirty Sultan, less any reasonable costs incurred by Dirty Sultan in preparation for the event. Dirty Sultan will not be liable for any expenses the booking organizer has incurred in their preparation for the booking. If one party is still able to proceed (eg. some guests are unable to attend, but the venue is still able to proceed with a booking at that date and time) then the force majeure clause does not apply.
  • COVID-19
The booking organizer acknowledges that they will comply with any covid-19 restrictions imposed by the government at the time of the event and that any resulting changes to guest numbers, food and beverage choices, standing or dancing will affect the event but not make it impossible for both parties to proceed with, and as a result the force majeure clause does not apply and the standard terms for cancelling and rescheduling still apply instead.
  • Minors
Minors may attend your private function if management is notified beforehand. Minors of all age are welcome, but guardian consent forms must be completed if the minor is between 7 to 17 years of age. Minors are not to remain on the premises once the function has ended and can not enter any areas that are not a part of the booked function space.
  • Decorations
Booking organizers are more than welcome to have any decorations in a private function, and the venue guarantees 30 minutes of organizer/decorator access period before the booking start time. Booking organizers are welcome to contact the bookings team to request earlier start time for this access period, but this may not be possible and is not guaranteed. Decorations that are not collected at the end of the booking will be moved out of the booked space into storage. All organizers are expected to share the document 'Information for Private Decorators & Suppliers' with any decorators or suppliers. This document is available for download on the functions page of our website, and can also be obtained from the bookings team. Booking organizers are liable for any damage to the venue (including, but not limited to, wall paint) caused by decorations and decorators involved with their private function bookings. Decorative table candles are permitted but they can not be ignited for safety reasons.
  • Function Timing
It is the responsibility of the booking organizer to ensure that their booking times are adhered to. Dirty Sultan will not be responsible if guests are not punctual or if anything beyond the control of Dirty Sultan management causes delays or interference with the event and its schedule. If the function begins after it’s specified start time, it will still be subject to the specified finish time of the booking unless Dirty Sultan management agrees otherwise. Dirty Sultan can not guarantee that any function guests will be able to remain on the premises after their event has ended. The possibility of this will depend on the capacity of the venue, other scheduled bookings, and also if the function guests meet the dress code requirements to be in areas outside of the booked function space. This decision will be at the discretion of Dirty Sultan management.
  • Entertainment & AV
The booking organizer acknowledges that the $100 AV hire fee is compulsory and grants them access to all available AV, such as our laptop, sound system, projector, screen and/or microphone. This will also provide the client with streaming services and internet access. Should the client wish to have a Dirty Sultan DJ for their event, this can be arranged by the bookings team provided that sufficient notice is given. DJ hire is the only thing that does not contribute to the minimum spend of a private function booking. DJ hire is $350 for 3 hours and $100 per additional hour. In selecting a DJ the bookings team will consider the music preferences or other specific requirements of the function. Booking organizers are welcome to have their own entertainment or DJ as long as the bookings team is notified before the day of the event. External DJ's will not be provided with any equipment except for a DJ table and the sound system, and they must bring their own deck and XLR cable to connect. Smoke machines, fog machines and additional speakers are not permitted. The bookings team and Dirty Sultan management reserves the right to refuse entertainment that is deemed dangerous, inappropriate or not compliant with relevant legislation.
  • Guest ID
Dirty Sultan urges all function guests to bring a valid form of photo identification, and reserves the right to refuse entry to any patron or guest, or remove any patron or guest from the property that does not present a valid form of identification upon request.

  • Organizer & Decorator Setup

Booking organizers are welcome to contact the bookings team to request earlier start time for this access period, but this may not be possible and is not guaranteed. Booking organizers are liable for any damage to the venue (including, but not limited to, wall paint) caused by decorations and decorators involved with their private function bookings. All organizers are expected to share the document 'Information for Private Decorators & Suppliers' with any decorators or suppliers. This document is available for download on the functions page of our website, and can also be obtained from the bookings team.
  • Location
Should a circumstance occur beyond the control of Dirty Sultan management that causes the booked space to become out of order, Dirty Sultan management reserves the right to move the event to another location inside the venue.
  • Smoking
Smoking will only be permitted in the areas designated by Dirty Sultan management. Indoor smoking (including vaping) is strictly not permitted.
  • Food & Drink Choices
When clients book in, they must agree to email our bookings team at bookings@dirtysultan.com with their food and drink menu choices by 30 days before the booking, and then final guest numbers by 10 days before the booking. If clients do not provide this information by the final cut-off date 10 days before the booking, our team will need to proceed with the last numbers and dietaries received. Food and drink menus are available on the functions page of our website or can be obtained from our bookings team.
  • Cakes & Outside Food
BYO Food is not permitted without written permission from the bookings team, except for cakes. We accept outside cakes and there is a $3 per plate cakeage fee for events in which the organizers wish for their guests to eat the cake. This cakeage fee will cover the cutting, plating and serving of the cake by the venue staff. There is no option for a booking organizer to cut, plate and serve their own cake. The $3pp cakeage fee applies to all cakes for consumption. If you wish to bring other outside food for consumption inside the venue (eg. cupcakes, desserts, other baked goods) we apologize but this is not permitted Cakeage will contribute to the minimum spend of a booking, just as all food and drink spending does.
  • BYO Drinks
Private function guests attempting to bring beverages into the venue for consumption will be removed from the function and the property and not allowed re-entry. It is the responsibility of the booking organizer to ensure this does not occur.
  • Damages
The client accepts that the cost to repair or replace any Dirty Sultan furnishings, fittings or equipment that have become damaged as a result of the actions of their guests, will be the responsibility of the client.
  • Responsible Service of Alcohol
Management and staff, in accordance with the Liquor Act 1992, will ensure that the service of alcohol to all guests is done so responsibly. Staff at all times have the right to refuse service or modify service to those who appear unduly intoxicated, and management will support the staff in doing so. The stockpiling of drinks by guests will not be permitted, and venue staff will be tasked with preventing this. If a patron is deemed to be unduly intoxicated or disorderly, they will be removed from the venue and management can not legally allow them to finish their drinks. Refunds will not be given to those guests being removed.
  • Privacy
Venue management reserves the right to use any photographs and images taken of the spaces booked during the event, provided they are taken by an employee or contractor of the venue and are for the legitimate purpose of advertising or marketing. Furthermore it is a condition of entry to the venue that all photography and videography content or likewise created by venue employees or contractors taken at the venue will remain the intellectual property of the venue and be able to be used at it's discretion in any digital, online, website or physical use where deemed appropriate.
